Exemption & Credit Transfer

Get credit for your previous qualifications and transfer seamlessly into Victoria University programmes.

This serves as the basis for exemption and credit transfers for all students who qualify for exemption and transfer of credits.

It is recognised that many students wishing to join Victoria University (VU) come with transcripts and qualifications from other universities and from different levels. This framework ensures they are not denied admission for lack of recognised measures to assimilate their prior study into the appropriate programmes at VU.

Requirements for Exemption

Undergraduate Academic Qualifications

To be exempted at an undergraduate degree programme, the following criteria must be fulfilled:

  • •A student should provide equated and certified results in English language from the authorized regulator, if the awarding institution is from outside the jurisdiction of NCHE.
  • •A student should have done a 2-year Diploma Programme in the relevant field and scored a minimum grade set for the first-year modules / course units.
  • •The Diploma should have been obtained from an institution recognised by the National Council for Higher Education.
  • •Victoria University diploma graduates who wish to exempt programme units should have obtained at least a lower second-class Diploma in the relevant field.
  • •A student should have passed the relevant Programme with 60% and above.
  • •Exemptions shall be available only to registered students.
  • •Core modules for a programme shall not be exempted, including Research Methodology, Dissertation and any programme-specific core modules.
  • •A lump sum of UGX 200,000 shall be charged as an administrative cost for each student's exemption, regardless of the number of modules exempted.
  • •Up to a maximum of 12 Programme units for 3-year Programmes and 15 Programme units for 4- and 5-year Programmes shall be exempted.
  • •There shall be no exemption for students progressing from the Foundation programme or Higher Certificate of Education.

Master's Level Exemptions

Victoria University shall exempt Programme units for students admitted at master's level with a relevant Postgraduate diploma:

  • •A student should have passed the relevant Programme unit with 60% and above.
  • •A student should be from an institution recognised by NCHE.
  • •A student should not have exceeded 5 years after their previous qualification.
  • •Allows a maximum of 6 Programme units in case of exemptions.

Period of Previous Training

Should not be more than 5 years after acquiring the qualification being considered for exemption. The degree, diploma and certificate must be relevant to the intended field of study.

Experience

Minimum working experience of two years after completion of the Programme in a relevant field (e.g. Nursing, Midwifery, Social Work, Auditing) is an added advantage.

Training Institution

Must be a recognised and licensed Institution of Higher Learning. Exemption of Programme units is optional and considered on merit, case by case.

Exemption Process

Six steps from application to Senate approval.

Apply after registration

Once admitted and registered, write an application to the Academic Registrar for exemption.

Fill the exemption form

Complete the exemption form in triplicate, indicating the module(s), score(s) and grade(s).

Head of Department review

Results are verified by the Head of Department, who makes a recommendation to the Dean of Faculty.

Dean's signature

The Dean signs the form and submits it to the Academic Registrar's Office.

Senate approval

The Academic Registrar compiles a list of all recommended students per Faculty per Trimester for Senate approval.

Submit documents

Submit fully completed transcripts and certificates to finalise your exemption record.

Credit Transfer

Bring credits across from an accredited institution.

Through the process of credit transfer, a student earns the credit value of the transferred unit. For credit transfer from diploma or degree programmes at other institutions, credit hours with grades will be transferred.

Maximum Credit Transfer

Undergraduate students are expected to spend two full time years at Victoria University. Any exemption to this rule must be approved by the Senate or the Academic Registrar.

Exemption Fees

Students pay a fee determined by the University Council for each exempted programme unit. The current charge is a lump sum administrative fee of UGX 200,000. Terms and conditions apply.

Credit Transfer Process

Release letter

Present a release letter from the sending institution together with your previous academic documents.

Apply through your Dean

Apply to the Academic Registrar through your Faculty Dean.

Pass all target subjects

You must have passed all subjects for which credit transfer is being sought.

Not in final year

No credit transfer will be effected in the final year of study.

NCHE guidelines

The procedure is based on the National Council for Higher Education (NCHE) guidelines.

Must be registered at VU

You must be a registered student at Victoria University before credit transfer can be processed.
